Submission Guidelines

Guidance for abstract submission, presentation pathways, full paper publication consideration, review, and author responsibilities at IMTEC.

1. Submission Pathways

IMTEC offers two participation pathways:

A. Conference Presentation Only

Authors submit an abstract for review. Upon acceptance and completion of conference registration, authors may present their work at the conference. Full paper submission is not required.

B. Conference Presentation and Publication

Authors submit an abstract for review. Upon abstract acceptance, authors may choose to submit a full paper for publication consideration in the conference proceedings or selected partner journals. Publication decisions are subject to additional editorial review and/or peer review.

2. Abstract Submission

Authors are required to submit an abstract through the conference management system.

Abstract requirements:

  • Language: English
  • Length: 200-300 words
  • Keywords: 3-5 keywords
  • The abstract should include background, objectives, methodology or approach, key findings if available, and implications or significance.

Author and presenter information:

  • All authors must be entered with their name, affiliation, and email address.
  • During submission, mark every author who will present by selecting Will present.
  • No author is automatically designated as a presenter. The first author is not required to attend if another listed author will present.
  • At least one listed author must be selected as a presenter.
  • For each selected presenter, choose Domestic or International origin and an available On-site or Online attendance mode.
  • Attendance modes closed by the committee cannot be selected.
  • Presenters are restricted to authors listed in the submitted abstract.

3. Full Paper Submission

Full paper submission is optional.

It is required only for authors who want their paper to be considered for publication.

Full paper requirements:

  • Language: English
  • Original and unpublished work
  • Format: Microsoft Word (.doc or .docx)
  • Length: 4,000-8,000 words, unless otherwise specified by the selected publication outlet
  • Must follow the official IMTEC paper template
  • Must follow the required citation and referencing style

4. Publication Opportunities

Authors choosing the publication pathway may select one of the available publication outlets listed below.

Publication outlet information will appear here after active outlets are configured by the admin.

Important notes:

  • Acceptance for presentation does not guarantee acceptance for publication.
  • Each publication outlet has its own editorial and peer review process.
  • Publication fees may differ depending on the selected outlet.
  • Publication fees are charged only after the manuscript has been accepted for publication.

5. Review Process

Abstract Review

Abstracts will be reviewed based on:

  • Relevance to the conference theme
  • Originality
  • Academic quality
  • Clarity of presentation

Possible decisions:

  • Accept
  • Revise
  • Reject

Full Paper Review

Full papers submitted for publication may undergo:

  • Editorial screening
  • Similarity check
  • Peer review or editorial review according to the selected publication outlet

Possible decisions:

  • Accept
  • Minor Revision
  • Major Revision
  • Reject

6. Presentation Requirements

At least one listed author of each accepted abstract must:

  • Be selected as a presenter during abstract submission
  • Be included in the conference registration invoice
  • Present the work during the conference

Each selected presenter is charged according to origin and attendance mode. When an abstract is accepted, the system generates one combined conference invoice equal to the total fees of all selected presenters.

The account holder makes one transfer for the combined amount and uploads one payment proof. After verification, the system generates an official payment receipt. Each presenter whose attendance is confirmed may receive an individual certificate, all accessible from the account used to submit the abstract.

7. Ethical Considerations

Authors must ensure that:

  • The submission is original
  • The work has not been published elsewhere
  • Proper citation and acknowledgment are provided
  • Research involving human participants has received ethical approval where required
  • Any use of generative AI tools is disclosed according to the policy of the selected publication outlet

8. Important Notes

  • Acceptance for presentation and acceptance for publication are separate decisions.
  • Full paper submission is optional.
  • Conference registration fees and publication fees are separate.
  • The conference invoice is generated after abstract acceptance and uses the presenter list selected during submission.
  • Invoice payment instructions use the bank account and SWIFT information published by the committee.
  • An official payment receipt is generated only after payment verification.
  • Publication fees are payable only after the manuscript has been accepted for publication.
  • The Conference Committee reserves the right to make final decisions regarding submissions, scheduling, and publication placement.
